Key Responsibilities

The successful candidate will be responsible for the following duties:

Fleet Maintenance and Operational Efficiency

  • Monitor compliance with the daily truck-maintenance schedule.
  • Support measures intended to improve fleet availability and operational efficiency.
  • Work with the Head of Transport and Fleet Manager to develop performance-improvement plans.
  • Monitor the effective utilisation of company trucks.
  • Use available fleet-maintenance systems to follow vehicle conditions and maintenance activities.
  • Raise identified maintenance or operational issues with the appropriate manager.

Truck Dispatch and Movement Monitoring

  • Ensure that loaded trucks under the officer’s control are dispatched promptly.
  • Track every dispatched truck until it reaches its assigned destination.
  • Monitor truck movements using the company’s control and tracking facilities.
  • Compare tracking-system information with updates received from drivers.
  • Escalate unexplained delays, route deviations or other irregular vehicle movements.
  • Help ensure that delivery schedules are met.

Route and Journey Planning

  • Plan appropriate journey routes for company trucks.
  • Prepare road-hazard maps for relevant routes.
  • Recommend suitable transportation modes, routing arrangements, equipment or operating frequency.
  • Identify potential road risks that could affect vehicle safety or delivery schedules.
  • Support safe and efficient journey execution.

Fuel and Vehicle-Use Monitoring

  • Track vehicle utilisation and fuel-consumption rates.
  • Monitor fuel usage to identify potential problems, irregularities or misuse.
  • Report suspected fuel misuse or unusual consumption patterns to management.
  • Maintain accurate information on the operational use of assigned trucks.
  • Ensure company trucks are used only for authorised business purposes.

Regulatory and Safety Compliance

  • Ensure trucks carry the safety equipment required under applicable state and federal laws.
  • Conduct or support fleet-safety inspections and audits.
  • Develop emergency-response plans for transport operations.
  • Report accidents, near misses and other health, safety and environmental concerns to the line manager immediately.
  • Support compliance with approved transport and safety procedures.
  • Recommend corrective action and continuous improvements when compliance gaps are identified.

Vehicle Documentation

  • Track vehicle-registration and insurance information.
  • Monitor the expiry dates of relevant fleet documents.
  • Work with the procurement team to ensure that vehicle registrations and insurance policies are renewed promptly.
  • Maintain accurate records of the documentation assigned to company trucks.
  • Escalate upcoming expirations or missing documentation before they disrupt operations.

Policy Enforcement

  • Ensure compliance with company policies, procedures and Standard Operating Procedures.
  • Recommend appropriate action when operational or compliance problems are identified.
  • Prevent the unauthorised use of company trucks.
  • Ensure drivers do not use trucks for illegal activities or carry unauthorised passengers.
  • Report suspected policy violations through the appropriate management channels.

Fleet Reporting

  • Prepare accurate fleet reports for the relevant manager.
  • Produce reports on a daily, weekly, monthly, quarterly and annual basis.
  • Document truck dispatches, movements and delivery progress.
  • Report fuel-consumption patterns, vehicle-use concerns and maintenance issues.
  • Highlight operational, safety and compliance matters requiring management attention.

Qualifications and Experience

Applicants should possess:

  • A first degree in Logistics and Transport Management or another related field.
  • Between three and five years of experience in a similar position.
  • Experience with compliance requirements in the transport industry.
  • Practical experience using fleet telemetry or truck-tracking systems.
  • Experience working with fleet-maintenance systems.
  • Knowledge of vehicle registration, insurance and safety-compliance requirements.
