What the Role Will Cover
The Finance / Admin / Ops Associate will support the State Team Lead and the central Finance and Operations team with day-to-day financial transactions, documentation, procurement support, logistics, office administration, and operational coordination.

Finance and Financial Compliance
The successful candidate will:
- Process state-level financial transactions according to approved policies and procedures.
- Coordinate activity-related advance requests and ensure advances are retired promptly with complete documentation.
- Maintain records such as payment vouchers, receipts, expense reports, and other supporting documents.
- Monitor expenditure against approved budgets and flag significant variances or compliance concerns.
- Support monthly financial reconciliations and financial reporting.
- Keep financial records organised and ready for review or audit.
- Assist with internal audits, donor reviews, and financial verification exercises when required.
Administration, Logistics and Office Support
The role also includes practical support for the state office and field activities.
Responsibilities will include:
- Coordinating office supplies, inventory, assets, and basic facility management.
- Arranging suitable venues for meetings, training sessions, workshops, and stakeholder activities.
- Coordinating travel, accommodation, transportation, and other logistics for programme personnel, consultants, and visitors.
- Supporting procurement by obtaining quotations, communicating with vendors, and maintaining procurement records.
- Working with approved suppliers and service providers to help ensure timely delivery of goods and services.
- Maintaining asset registers, inventory records, and logistics documentation.
- Making sure field teams have the operational resources needed for planned activities.
Documentation and Reporting
Good record keeping will be a central part of the position.
The Associate will:
- Maintain consistent filing systems for finance, administration, procurement, logistics, and programme operations.
- Prepare financial, administrative, logistics, and operational reports according to programme schedules.
