Role Summary

The Medical Assistant will provide administrative and client support services within IOM’s Migration Health Assessment Centre (MHAC).

The role involves assisting migrants with health assessment information, managing appointment schedules, processing applicant data, maintaining records, and supporting communication between applicants, medical teams, and service partners.

The successful candidate may work within either the reception and data processing unit or the call centre, requiring flexibility and the ability to manage different responsibilities based on operational needs.

Key Responsibilities

Migrant Support and Health Assessment Information

The Medical Assistant will:

  • Provide clear information to migrants regarding health assessment procedures and IOM services.
  • Respond to applicant questions through phone and email communication.
  • Support applicants throughout different stages of the health assessment process.
  • Communicate important messages between migrants and healthcare staff.

Call Centre and Appointment Coordination

Responsibilities include:

  • Registering applicants in IOM databases.
  • Scheduling and confirming medical appointments.
  • Maintaining appointment records and daily processing lists.
  • Preparing lists of applicants scheduled for health assessments.
  • Supporting customer satisfaction monitoring activities.
  • Maintaining accurate daily statistics related to health services.

Reception and Data Processing Support

The role also requires:

  • Receiving applicants and explaining registration procedures.
  • Verifying applicant identities and entering biodata into approved systems.
  • Capturing applicant photographs using approved devices.
  • Printing medical forms, consent documents, and related paperwork.
  • Receiving medical examination documents, X-rays, and reports from relevant offices and physicians.
  • Updating records and submitting documents for quality review.
  • Preparing and organizing medical files during mobile migration health assessment activities.

Document Management and Administrative Support

The successful candidate will:

  • Transmit completed medical documents and related files through approved electronic or courier systems.
  • Ensure accurate contact information is used for document delivery.
  • Track courier information and communicate delivery details when required.
  • Maintain organized filing systems for letters, reports, emails, forms, and medical documents.
  • Support administrative processes related to payment verification documents and records.
  • Complete additional duties assigned by supervisors.

Qualifications and Experience

Applicants should meet one of the following requirements:

Education Requirements

Option 1:

  • University degree in Computer Science, Information Technology, Information Management, Statistics, Social Sciences, Business Administration, or a related field.
  • Minimum of two years of relevant work experience.

Option 2:

  • Secondary School Diploma.
  • Minimum of four years of relevant work experience.

Additional certification or training in IT, computer applications, or data entry is an advantage.

Professional Experience

Candidates should have experience in areas such as:

  • Computer-based data entry and information management.
  • Data processing, reporting, and analysis.
  • Customer service or call centre operations in a busy environment.
  • Healthcare administration or medical support settings.
