Key Responsibilities
Facility, Hygiene and Housekeeping
The Administrative Officer will oversee the condition and readiness of the regional office. Responsibilities will include:
- Inspecting the office daily to confirm that it is clean, safe and ready for use.
- Supervising cleaning personnel and office assistants.
- Coordinating sanitation activities, including deep cleaning, pest control and waste management.
- Preparing daily and weekly facility reports for the Head Office.
Asset and Inventory Management
The role will also involve maintaining proper control over company property and office inventory. The successful candidate will:
- Keep accurate records of company assets, including IT equipment and furniture.
- Ensure that company assets are correctly tagged.
- Carry out regular physical asset counts and audits.
- Implement and enforce procedures for checking assets in and out.
Repairs and Maintenance
The Administrative Officer will monitor the facility and ensure that identified faults are reported and addressed. This includes:
- Identifying problems involving electricity, plumbing, air conditioning, generators and IT-related equipment.
- Reporting facility faults through the appropriate channels.
- Coordinating local vendors and contractors responsible for maintenance and repairs.
- Monitoring completed work and confirming that service-level requirements have been met before approving sign-off.
Procurement and Vendor Management
The position requires careful management of office supplies and vendor documentation. Duties will include:
- Managing stationery, office supplies, cleaning materials and other consumables.
- Ensuring that procurement activities remain within approved budget guidelines.
- Processing and maintaining accurate purchase orders, vendor invoices and receipts.
- Monitoring office inventory to support uninterrupted regional operations.
Regional Operations and Head Office Coordination
The successful candidate will act as the main administrative contact between the regional office and PalmPay’s Head Office. The role will involve:
- Maintaining timely communication with the Head Office.
- Providing updates on assigned administrative and operational tasks.
- Managing petty cash, utility payments and related expense records.
- Coordinating local travel and logistics.
- Arranging guest reception for visiting personnel and partners.
Qualifications and Experience
Applicants must have:
- A bachelor’s degree or HND in Business Administration, Public Administration, Logistics or a related field.
- One to two years of experience in office administration, facilities management or operations.
Previous experience managing a branch or regional office will be considered an added advantage.
